Terms & Conditions

These terms and conditions form a legally binding agreement between Magnificent Himalayan Treks and Expedition PVT. LTD. and you (client) for our services. Please read carefully before booking.

1. Payment

To confirm your booking, an advance deposit or full payment is required through our booking system. The remaining balance must be paid in Kathmandu before the trip's departure. We accept major currencies including USD, Euro, GBP, SGD, CAD, and AUD at the exchange rate on the day of payment.

We accept Visa, MasterCard, and American Express. A 4% processing fee will be added to the total amount for card payments. Please note, this fee is charged by the bank and is not included in the trip cost. We are not liable for this 4% bank transaction fee.


2. Cancellation Policy

We understand that cancellations may be unavoidable. Our policy is as follows:

  • For cancellations made 45 Days or more before the departure date, we offer a 100% refund minus transaction and bank transfer fees.
  • For cancellations made 44 to 30 Days before the departure date, we deduct a 30% in total cost of the trip.
  • For cancellations made 29 to 15 Days before the departure date, we deduct a 50% in total cost of the trip. 
  • For cancellations made 15 to 8 Days before the departure date, we deduct a 70% in total cost of the trip. 
  • For cancellations made less than 7 Days before the departure date, we deduct a 100% in total cost of the trip. 

If you don’t want to refund the amount, then, we also have the option for lifetime deposit.


3. Lifetime Deposit

We offer a flexible lifetime deposit policy. If you need to cancel your trip, your deposit can be used for any future trip with us, without any time limitation. This deposit is transferable to friends or family members, providing maximum flexibility for future adventures.


4. Discounts

At Magnificent Himalayan Treks & Expedition Pvt. Ltd., we believe in rewarding our valued clients. That's why we offer a range of discounts to enhance your trekking experience and make your adventures even more memorable.

Group Discounts: Gather your friends, family, or fellow adventurers and take advantage of our special group rates. Groups of 8 or more will receive exclusive discounts on our trekking packages, allowing you to explore the Himalayas together while saving on costs.

Students / College Group Discounts: We understand the importance of education and adventure. That's why we offer special discounted rates for students and college groups. Whether you're organizing a school trip or planning a university excursion, our discounted packages make it easier for students to begin on unforgettable Himalayan journeys.

Returning Clients: We cherish the bond we share with our returning clients. As a token of our appreciation for your continued trust and loyalty, we offer exclusive discounts on your next adventure with us. Whether you're planning another trekking expedition or seeking a new adventure, our returning client discounts ensure that you can explore the Himalayas with added benefits.

Referral Discounts: Spread the joy of trekking and earn rewards in return. Refer a friend to Magnificent Himalayan Treks & Expedition Pvt. Ltd., and both you and your friend will receive special discounts on your next trip. It's our way of saying thank you for sharing your love of adventure and helping us grow our trekking community.


5. Early Return

If clients return early from their trip for any reason, no refunds will be provided. Guides and porters are compensated based on the original number of booked days.


6. Domestic Flight Delay

The mountainous terrain of Nepal can lead to unpredictable weather, sometimes causing domestic flight delays or cancellations. In such cases, the client is responsible for any additional hotel night costs incurred.


7. Travel Insurance

All clients must have personal travel insurance covering emergencies. Our booking form will collect details of your insurance policy. Magnificent Himalayan Treks & Expedition provides insurance for our guides and porters.


8. Trip Amendments

Should the trip itinerary need to change due to circumstances beyond our control (e.g., weather conditions, landslides), we will provide timely advice to our clients. If clients wish to amend the trip for personal reasons, the request must be made in writing through email. 

If the amendments include extra accommodations or any other service (transport, flight, guides, porter, permit, etc.), the client will be charged extra to the trip cost as accordingly.


9. Last-Minute Bookings

For those who could not book trips in advance, we accept last-minute bookings with 100% payment made 24 hours before the trip start. Contact us for more information.


10. Medical Conditions and Special Requirements

Clients must notify us in writing of any medical conditions that may affect their fitness during the trip. Failure to do so may result in refusal to travel, with no refunds provided. We advise choosing a suitable trip considering factors such as age, pregnancy, and other conditions.


11. Visa and Passport

Clients must carry a valid passport and obtain the appropriate visas. Ensure your passport is valid for at least six months beyond the trip duration. We are not responsible for refused entry due to incorrect visa documentation.


12. Injuries and Evacuation

Magnificent Himalayan Treks & Expedition is not liable for any injuries, health conditions, or emotional issues suffered during the trip. Our package cost does not include personal insurance; clients should secure adequate insurance covering medical emergencies and evacuation.


13. Unused Services

There will be no refunds for missed or unused services, including voluntary or involuntary termination from the tour (e.g., sickness, family emergencies, late arrival, or premature departure).


14. Responsible Tourism Policy

We are committed to benefiting local communities, tourists, the environment, the government, and the tourism industry. We expect clients to follow our guidelines and policies to ensure a fulfilling and respectful experience.


15. Dispute Settlement

In case of legal disputes, they will be settled in the courts of Kathmandu, Bagmati Province, according to the laws of Nepal.


16. Publicity

We may use images taken during the trip for promotional purposes. If you do not wish for your images to be used, please inform us in advance.


17. Privacy

We collect necessary information during booking to facilitate your trip. Your personal information will not be used for any other purposes.


18. Porter Weight Limit

While our porters are here to ensure your journey is comfortable, please be mindful of their load. Each porter can carry a maximum of 20kg( 10kg per person), including their own backpack which can weigh up to 4kg. We kindly ask you to pack considerately.


19. Updating Terms and Conditions

We reserve the right to update and amend these terms and conditions at any time. The current version will always be available on our website.
